Protect notebooks and notebook data from theft.

Legal repercussions for lost data can be significant...
Notebooks pose two serious security concerns: protection of data and protection of the physical notebook.

You can’t guarantee that notebooks won’t be damaged, lost or stolen, or that data will never be compromised, but following some easy steps will reduce these odds and minimize the repercussions that follow.


Start with security basics
Notebook security starts with the same security you would provide for all desktop computers in your office: firewalls, antivirus and antispyware software. Because they are often used on foreign networks, it is especially important that your notebooks are running firewall software. The firewall software that comes with Microsoft® Windows® XP is adequate as long as you ensure it is turned on. For added security, you should consider adding a third-party firewall.

Another concern is manipulation of data and applications by unwanted downloads. Configure all operating systems and Web browsers to prevent automatic downloads and installs of ActiveX, JavaScript or Java applets. These technologies affect how applications share information and can damage software and compromise data. And remember to check for and apply operating system patches on a regular basis.

In addition, set up each notebook so that access to applications and files is restricted to authorized users. You can control access with passwords, biometric identification or encryption keys. If you use encryption keys, be sure to store them on a separate, removable device such as a hot-pluggable USB storage chip so that they cannot be retrieved from the hard drive if the notebook is stolen.


External protection for notebooks. Perform regular data backups
A lost or stolen notebook can be replaced, but replacing data can be impossible if you haven’t performed regular backups. Be sure that you back up data on your notebooks frequently. Though a network-based backup is ideal, you can store copies of your data on an external USB flash drive or a portable hard drive.

Protect sensitive data
If notebooks are to be used for processing sensitive data, you must remember that data on the hard drive might still be accessible if the computer is lost or stolen. The legal repercussions can be significant if personal information such as credit card numbers or social security numbers are compromised. One solution is to treat notebooks as data-free workstations, storing data only on removable devices or media, and configuring software to prevent storage of temporary files on the hard drive.

If sensitive data must be stored on the hard drive, it should be encrypted. Current operating systems include encryption utilities. Windows XP supports per-file, per-directory and per-partition encryption. Mac OS X can create a virtual disk for encryption purposes.


Secure your network connections
Firewall, antivirus and antispyware software will help protect against threats, but it is also necessary to secure all transmissions between notebooks and your company’s networks, servers and users’ desktops. For secure remote connections to your network, consider using virtual private network (VPN) software. This allows direct, secure connections from remote locations to files, servers and applications. There are a number of VPN products on the market, each varying in capability and cost.

Establish and enforce a security policy
Finally, be sure to create and distribute a security policy. Make sure that every wireless device supports the same security standards. Protect sensitive applications with passwords and verify that your encryption keys are changed frequently. And be sure to maintain all security devices that you purchase for your network.
