Make the most of meetings, here or there, with high-tech conference room tools

Too often, meetings feel like a waste of time. The feeling is only magnified when you spend money to travel, only to find inadequate equipment at the meeting site. But invite along a few key technology components and you've turned a routine sales pitch or team update into a high-impact engagement. All it takes is the right selection of notebook PC and video projector — the basics of conference room technology — and your team can deliver a bang-up presentation with minimal setup in the boardroom or at the client site. The potential benefits include higher levels of productivity, dynamic meetings on or offsite, and, ultimately, a firmer bottom line.

Portable PCs equal power and convenience
Conference technology almost always means notebook PCs: they require less room, are easily set up and stored, and make it easy to relocate your meeting with minimal inconvenience. Equipped with the right notebook PC and projector, your sales or service rep can literally carry the conference room.

To maximize your return on investment, make sure that you have the network infrastructure and protection that allows your employees to work anywhere — whether at their desks or with a client. And take advantage of WiMAX technology for Internet access from locations with no wireless network.

Making bright ideas brilliant
To maximize the impact of conference room presentations, choose a projector with the best mix of brightness, resolution, contrast ratio and weight.

Projector brightness is measured in lumens. In general, the more well lit your conference room, the higher the lumens output needs to be. Ask yourself: Does the intended conference room have lots of ambient light? Or can it be darkened easily? For optimal use in either low- or high-light environments, consider a versatile projector with at least 1200 lumens.

Similar to computer monitor resolution, projector resolution affects the amount of information that can be shown with clarity. A standard resolution is 800 X 600. However, a higher resolution is recommended if you'll be projecting large or detailed images. Resolution in projectors is further rated by SVGA (normal projection), XGA (advanced/large projection) and SXGA (extremely detailed projection).

A projector's contrast ratio is related to projector brightness, basically equating to the brightness of the projector over any room light. A greater contrast ratio equals a greater ability to project details with clarity.

Where portability is concerned, projector weight becomes a factor. This is especially true when several conference rooms will utilize the same projectors or when projectors are deployed for offsite meetings and presentations. In the latter case, wireless capability further enhances the benefits of portability by allowing you to run projections from a notebook PC without the hassle of wired connections.


Projector added factors
Other factors to consider before purchasing a conference room projector include:

  • Setup: Will all meeting participants be able to see the screen?
  • Ease of use: Are menus and controls easy to navigate and adjust? Does the projector include a troubleshooting system?
  • Technology: Does the projector offer such advances as DLP (Digital Light Processing), which greatly improves the quality of presentations?
  • Mobility: Is the projector sturdy, compact and transportable?
  • Integration: Do connectivity options include serial interface connection, multiple computer inputs, S-Video and other IT integration compatibility?
Remember: the technology you choose for your portable conference room should be based on more than a price tag. Selected wisely, the right combination of robust notebook PCs and digital projectors can increase productivity, impress clients and save — even generate — money.
