Low-cost, high-quality color MFPs
come of age


Today, low-cost, high-quality, color multifunction printers (MFPs) have come a long way. In addition to having copy and print quality comparable to more expensive devices, these new networkable printers also include "send-to-e-mail" capabilities that allow easy integration of hard copies into electronic workflows.

The simplest argument in favor of MFPs is that they are less expensive to acquire and that it's easier to operate one device instead of four (printer, copier, fax and scanner). A single platform also uses less space and has a common consumable inventory.

MFP advantages Streamline workflow

MFPs offer many ways to improve workflow and allow conversion of paper to electronic documents via a built-in scanner. This allows paper documents to be sent digitally to e-mail. Specific business processes — purchasing and invoicing, marketing, HR and general office work — are among the most document-intensive, according to IDC research. From 40 to 50 percent of organizations indicated a need for further digitizing of documents, which speaks to the need for scanning.

Scan-to-e-mail features are standard on most business-class MFPs. These features allow single- or double-sided documents to be sent as a scanned hard copy by simply accessing a recipient from the address book contained in the MFP's console.

Premium color laser output has become attractive to small- and medium-sized businesses that want to project the image of a larger firm. Research shows that color improves readership, retention and awareness. Still, the average organization probably doesn't need color all the time. Smart utilization strategies, such as using device control software, can reduce the total cost of ownership (TCO). This software allows you to define who has access to color printing. You can reduce consumable consumption, monitor color use or even disable use of color by some individuals if you like.

In with the new, out with the old

Experts recommend companies make the most of their legacy printers while applying new technology and new devices in such a way that optimizes the mix between monochrome and color as well as copiers, single-user devices and MFPs. Even though you might own the legacy printer outright, outdated printing and faxing devices might cost more in terms of support, maintenance and even electricity than a new device.

The right mix of devices is sometimes referred to as "balanced deployment." This approach can improve both printing performance and cost, while dramatically increasing device utilization, return on investment (ROI) and productivity by moving high-demand functionality closer to your users.

Lower-priced MFPs are ideal for executives who need the ability to print and fax privately or for field sales reps working from home offices. Both machines are also ideal for remote office users that need low-volume, high-quality laser printing, copying, scanning and faxing.

MFPs are a good choice for any organization looking for features, functions and convenience at a reasonable price. But it's important to conduct a formal assessment of your imaging requirements, so you can determine the optimum balance between lowest total cost and highest employee productivity.
